The specific services included in your engagement are confirmed in your Engagement Schedule, which accompanies this Agreement.
To preserve your legacy faithfully, we rely on your partnership. You agree to:
- Provide truthful information — sharing accurate accounts to the best of your knowledge.
- Cooperate in a timely manner — attending sessions and responding to requests within reasonable timeframes.
- Approve submitted content — reviewing and confirming materials before they are finalized into your archive.
- Confirm ownership of uploaded materials — ensuring you hold the rights to documents, images, and recordings you provide.
- Keep account credentials secure — protecting access to your Digital Vault and notifying us of any suspected compromise.
Keepentry commits to upholding the following obligations throughout the engagement:
- Professional handling — managing your materials with diligence and craftsmanship.
- Confidentiality — protecting your information as described in Section 05.
- Secure storage — maintaining your archive within an encrypted, access-controlled environment.
- Data preservation — safeguarding the integrity and longevity of your records.
- Accurate documentation — representing your story faithfully and without distortion.
- Ethical conduct — acting at all times in your interest and with discretion.
- Reasonable support — providing responsive, attentive assistance throughout your engagement.
Confidentiality is not a clause to us — it is the foundation on which this entire engagement rests. You share the most personal dimensions of your life with us, and we treat that trust as sacred.
All information you share with Keepentry remains strictly confidential. It is never sold, never shared for commercial purposes, and never disclosed beyond those authorized to deliver your engagement.

Nothing in this Agreement transfers ownership of your personal content to Keepentry. We are the custodians of your legacy — never its owners.

Keepentry uses artificial intelligence as a tool in service of your legacy — never as a substitute for human judgment, and never as an owner of your story. AI assists with:
- Organization — arranging materials into a coherent structure.
- Transcription — converting recordings into searchable text.
- Indexing — making your archive navigable and discoverable.
- Search — helping you and your family find what matters.
- Summarization — distilling long records into accessible overviews.
AI never becomes the owner of client information. No client data is used for public AI training without your explicit consent. Your legacy is never absorbed into systems beyond your control.
We treat your privacy with the same seriousness as your confidentiality. This section summarizes our approach; full detail is provided in our Privacy Policy and Data Protection Policy.
- Personal Information — we collect only what is necessary to deliver your engagement.
- Data handling — your information is managed under defined, secure procedures.
- Processing — data is processed solely for the purposes of your engagement.
- Retention — your archive is retained for the long-term preservation you have entrusted to us.
- User rights — you retain rights to access, correct, and direct the handling of your information.
The financial terms of your engagement are set out in your Engagement Schedule. In summary:
- Engagement fee — the agreed amount for the services in your scope, as itemized in your Schedule.
- Payment schedule — fees are payable according to the milestones or installments stated in your Schedule.
- Taxes — fees are exclusive of applicable taxes, which are added where required by law.
- Renewal — where ongoing preservation or services apply, renewal terms are confirmed in advance.
- Refund policy — refunds, where applicable, follow the terms specified in your Engagement Schedule.
From time to time, this Agreement may be updated to reflect improvements to our service, changes in law, or refinements to our practices.
- Agreement Version — every version is numbered so you always know which terms apply. Current version: v2.4.
- Last Updated — each revision records the date it took effect.
- Notification Process — material changes are communicated to you in advance, with the opportunity to review them.
Continued use of your engagement following notice of an amendment constitutes acceptance of the updated terms, unless you indicate otherwise.
Client termination
You may terminate this engagement at any time, in accordance with the notice terms in your Engagement Schedule. Your legacy remains yours.
Keepentry termination
Keepentry may conclude an engagement where obligations cannot reasonably be fulfilled, or where required by law, always with appropriate notice and care.
Data handling after termination
Upon termination, you may request export or transfer of your materials. We handle your data responsibly through any transition.
Archive retention
Where you have engaged us for long-term preservation, your archive may be retained for that purpose as agreed, or securely released to you on request.
We hold ourselves to a high standard of care, and we believe our terms should be just as clear as they are fair.
Keepentry provides its services with professional diligence. To the extent permitted by law, our total liability arising from this engagement is limited to the fees paid for the services giving rise to the claim. We are not liable for indirect, incidental, or consequential losses.
Nothing in this Agreement limits any liability that cannot lawfully be limited, including liability for fraud or for matters where the law does not permit exclusion. This section is intended to set reasonable expectations — not to diminish the responsibility we take for our work.
This Agreement is governed by and construed in accordance with the laws of [ Governing Jurisdiction ], without regard to conflict-of-law principles. Any disputes arising under this Agreement are subject to the exclusive jurisdiction of the courts of that jurisdiction, as confirmed in your Engagement Schedule.
